ACAPMA Retail Fuel Site Checklist Guide 2021-2022 released

By Australasian Convenience and Petroleum Marketers Association Executive Manager Employment and Training Elisha Radwanowski.

As part of the 2021-2022 Employment Guides Pack, ACAPMA has released the ‘Fuel Site Checklist Guide.’

This detailed Guide outlines the role and value of checklists in communicating expectations, managing risks and providing performance management avenues, as well as detailing comprehensive examples of daily, weekly, monthly, Covid-specific and other checklists for use on site.

Checklists can be a valuable tool in the workplace. For new staff detailed and complete checklists play a large role in explaining the expectations of the business from the perspective of specific tasks that the business has placed a focus on.

The value of detailed checklists to new staff in highlighting the unique safety concerns and hazards in a retail fuel setting cannot be underestimated. As a new employee on a dangerous goods site, the sheer amount of training and induction information that is completely new to most staff can be overwhelming. Good checklists serve as a reminder of the ‘things to keep an eye on’ as well as a vital reinforcement of recent training.

For existing staff checklists serve as a day-to-day task instruction and a clear reminder of what is important to the business as well as a great risk management tool. These roles are well understood but the value of checklists as a performance management tool is often overlooked. Policies outline how the broad business expectations and responses to breaches, but they do not (or at least they should not) go into detail of actual tasks to be done, or how they should be done, that is the role of processes or task instructions. The reality is that the most common task instruction in retail is the checklist.

Checklists come in many forms, from a process-based checklist like handwashing checklist or sandwich-making checklist to discussion-based checklist like induction checklists or hazard walk checklists. What they all have in common is that their value is in their design, use and review. Checklists must be designed to reflect the realities at the workplace, must clearly communicate the instruction and they must be used, enforced and reviewed.

Like most documents in the workplace the value is significantly eroded if the approach becomes ‘tick and flick’. The business needs to carefully explain the importance of the checklists, and then demonstrably review and respond to comments on the checklists as well as performance manage any staff found to be breaching the expectation not only to complete the Checklists but also to actively engage with the tasks they represent.
